Mustek Administrator: Sales (Public Sector)

Responsible to meet the administrative requirements and deadlines of specific the relationship accounts thereby enabling the Relationship Account Manager to focus on external requirements such as client visits also liaising with customers as and when necessary, ensuring an uninterrupted sales process and maintaining a high level of service.

Responsibilities:

Sales Assistance
• Responsible for processing orders and quotes by telephone, email and walk-in Customers.
• Monitoring quotes issued and follow up to close sales.
• Administrators maintain sales records and update customer records on sharepoint.
• Processing a high volume of product orders and quotes accurately.
• Administrator is responsible to ensure all orders and quotes are placed with 100% accuracy on the Mustek CRM system.
• Orders received must be processed immediately, unless stated otherwise by an Account Manager (AM).
• Process correct delivery Information.
• Process correct pricing against Seller Purchase Order.
• Zero duplication of Orders.
• Process order with NPOD when required.
• Process correct customer references and items codes.
• Update Reseller & AM on backorders ETA changes daily on receipt of notifications from Mustek CRM.
• File & Index all customer PO’s & email correspondence in Sharepoint.
• Process manual credit notes on invoice date.
• Follow up on open/ready orders placed until they are invoiced and provide updates to reseller immediately.
• Invoice orders within 48 hours of backorders being fulfilled.
• Bi-weekly update provided to each AM on orders placed per AM.
• Answer telephone calls from customers and assist them promptly and professionally.
• Process high volumes of emails timeously.
• Efficient Response Time.
• Email Quotation requests must be responded to between 60-90minutes containing all required information.
• Email related to Queries or Information requests must be acknowledged within 30 minutes and resolved by EOB.
• Missed Calls must be returned immediately or within 30 minutes.
• Complete Tender requests according to the AM’s instructions.
• Administrator needs to log tender requests received from resellers on Sharepoint.
• File Tender documents and Quotes on Sharepoint.
• Required Lunch Times 12:00 – 15:00.
• Finance Enquiries must be communicated with Credit controller and escalated to the AM before feedback is provided to the Reseller.

General
• Communicating internally important feedback from customers.
• Always communicate with complete and accurate information in a professional manner internally and externally.
• Proper email and Telephone etiquette needs to be practiced always.
• E-mails from AM’s must be considered Priority.
• Communicate Challenges or Concerns for orders/ Quotes to the AM immediately.
• Keep the AM in CC for all communication Related to their customer.
• Leave – All e-mails must be forwarded to the available administrator.
• One administrator must always be available during working hours 8:00 – 17:00.
• Redirect incomplete work via email to ensure completion of task.
• Customer Complaints – Limited to 1 per quarter.
• Price/stock write off Target is Zero per quarter.
• Keep up to date with product trends and specs.
• Sales Admin Responsible for understanding All Products Supplied by Mustek.
• Complete 3 Training sessions per quarter in N-computing, Mobile Device & Visual Display Product lines.

Qualifications and Experience:

• Matric
• Sales and/or Marketing qualification preferred
• 1 year administrative experience within ICT industry sales and marketing
• MS office suite
• A+
